Getting started
- Create your company. The first person to sign up sets up the company and becomes its admin.
- Invite your team. Admins invite employees and managers from the Admin tab. Teammates with your company email domain can also request to join.
- Set your policies. In Settings, choose spending rules per expense category, such as whether a meal must be linked to a CRM contact.
- Submit expenses. Employees photograph a receipt on the Submit tab. Sumptus reads it, checks it against policy, and can ask the client to confirm the meeting took place.
- Review and approve. Managers approve or reject from their Queue.
Connecting HubSpot
With HubSpot connected, employees can pick the client they met from your HubSpot contacts when submitting an expense. Once the expense is approved, Sumptus adds a note to that contact’s timeline with the merchant, amount and date.
Before you start
- In Sumptus: you must be a company admin, on a plan that includes CRM integrations.
- In HubSpot: you must be a Super Admin, or have the App Marketplace access permission, and be able to edit contacts.
Connect
- Open Sumptus and go to Settings → Integrations.
- Tap Connect next to HubSpot. A HubSpot sign-in window opens.
- Sign in, choose the HubSpot account to connect, and approve access.
- You’re returned to Sumptus and HubSpot shows as Connected.
What Sumptus can access
Sumptus asks HubSpot for two permissions:
- Read contacts — to search contacts by name, email or company when an employee tags who they met.
- Write contacts — to add a note to a contact’s timeline when an expense is approved.
Sumptus does not delete contacts or change contact properties. Notes are only created for approved expenses that are linked to a contact. HubSpot credentials are stored on our servers and are never sent to employees’ devices.
Disconnect
- From Sumptus: go to Settings → Integrations and tap Disconnect next to HubSpot. Sumptus deletes its stored HubSpot credentials.
- From HubSpot: go to Settings → Integrations → Connected Apps, find Sumptus, and uninstall it.
Notes already added to contacts stay in HubSpot after you disconnect.
Salesforce & Pipedrive
Salesforce and Pipedrive connect the same way from Settings → Integrations. Approved expenses are logged as a completed task (Salesforce) or activity (Pipedrive) on the linked contact. Need a different CRM? Let us know.
Troubleshooting
“This account isn’t eligible to install Sumptus”
HubSpot hasn’t cleared the Sumptus app for your account yet. Email info@sumptus.co with your HubSpot account name and we’ll sort it out.
“You don’t have permission to connect this integration”
Your HubSpot user can’t install apps. Ask a HubSpot Super Admin to connect Sumptus, or to give you the App Marketplace access permission.
“Connection failed” page
If the connection doesn’t finish, Sumptus shows a short error code:

invalid_state | The link was already used or opened twice. Start again from Settings. |
token_exchange_failed | The CRM didn’t finish the handshake. Try again; if it repeats, email us the time it happened. |
Sumptus asks me to reconnect my CRM
Access was revoked in the CRM or has expired. An admin can tap Reconnect in Settings → Integrations; nothing else needs to be set up again.
A contact doesn’t show up in search
Search matches contacts by name, email or company. Check the contact exists in the connected account and that the name is spelled the same way.
FAQ
- Can employees connect a CRM?
- No. Only company admins can connect or disconnect a CRM. Employees search contacts through the admin’s connection.
- Can we connect more than one HubSpot account?
- Each Sumptus company connects one account per CRM.
- How do I delete my Sumptus account?
- Go to Settings → Account and tap Delete account, or email info@sumptus.co. See our Privacy Policy for how data is handled.
